The studio guide

A simple start.
A little wonder.

Check your scanner, stock your cards, and bring your first keepsake to life. You handle the visit and purchase. HoloBaby prepares and reviews the portrait.

Before you offer it

Check one export from your scanner

Tell us your machine model, software version and available export options. We inspect an authorized sample before confirming what your studio can offer. Upload success or a familiar file extension does not establish compatibility.

Use the private studio upload for a consented sample. Keep patient names, scans and private viewing links out of inquiry and support forms.

Ask about your scanner
Request your free starter cards

Our first 24 eligible studio partners receive 25 cards free, including US shipping. There is no signup fee or payment card required. The studio owner submits the shipping address and public studio website in the workspace. HoloBaby verifies the business, completes onboarding and checks scanner compatibility before reserving one starter pack per business. A request does not reserve a place or confirm a shipment.

Your studio sets the card retail price and keeps its card resale revenue. Sell them individually, bundle them with sessions or give them away. Keepsake processing is separate. Confirm the family’s price, turnaround and refund terms before taking payment.

Set up the owner and team

Studio workspaces currently use Sign in with ChatGPT. The owner creates the studio and invites staff. If you were invited, use that invitation to join the existing team. Families open their private viewing link without an account or app download.

Review your service terms

Keep your family's purchase separate from your studio's HoloBaby account. Your owner can review the proposed service plan and, when available, the studio's accepted terms, statements and invoices in Billing. Confirm the agreed service price before offering a paid keepsake.

A family purchase recorded in the order form does not collect a payment. Card stock orders have their own quote and invoice.

Choose the right file

Volumes and meshes

The portal accepts .vol, .4dv, .nrrd and .stl. Initial volume support covers certain uncompressed GE Kretz exports and calibrated NRRD files. A static STL mesh can support a static keepsake. Each scanner and export configuration still needs an actual file check.

Keep the original export and its scale, orientation and timing information. For DICOM or another format, ask us to confirm a conversion route first; DICOM is not a direct portal upload. Renaming a file does not convert it.

A still portrait or captured movement?

The initial proven result is a static artistic 3D portrait that can be explored from different angles. Captured animation requires a compatible sequence of 3D volumes with genuine timing, and is confirmed only after reviewing that source and result.

A normal ultrasound video, screen recording or rotating view of one volume does not provide captured 4D geometry. We do not label invented movement as movement recorded in the scan.

When a file needs another look

A clear visible face or region gives us the best reference. We may request another existing capture or export if detail is obscured, the file is compressed in an unsupported format, or calibration is missing. Your team remains responsible for scan acquisition decisions.

The portal allows files up to 2 GiB, but processing limits depend on the format and decoded size. Check a large or unfamiliar export with us before promising a result.

Your first order

1. Confirm the family and purchase

Have the parent check their name and email. Record their permission for sharing the selected capture and contact details with HoloBaby, including AI-assisted artistic preparation. Permission to prepare a keepsake does not permit public marketing use.

Record the actual number of cards and the HoloBaby subtotal after discounts, before tax. Keep the ultrasound session charge separate. Add your receipt reference if useful; leave an unknown amount blank.

2. Upload and follow preparation

Save the keepsake, then upload the selected source through the studio workspace. Keep the page open until completion is confirmed. HoloBaby checks the capture, prepares the portrait and performs final visual review before releasing it.

If preparation needs attention, open the existing order for the reason and next step. Avoid creating a duplicate order to retry a file or check progress.

3. Hand over the cards and viewing link

Give the family its purchased cards. Once the keepsake is ready, its private link opens the experience on a phone. The family taps Start camera, allows access, and points at the illustrated side of the card.

Check the order’s email status. If email is unavailable or missing, confirm the address and use the current family link shown in the ready order. Check any uncertain delivery before resending. The family can share that same link with relatives who have cards.

A five-minute card check

Before your first sale, try an actual HoloBaby card and an approved demonstration link on an iPhone in Safari and an Android phone in Chrome. This checks your devices and conditions; it is not a guarantee for every phone.

First two minutes: open and move

On the iPhone, open the link and allow camera access. Hold the lower edge of the card in even indoor light. Move the phone left and right around it, then turn and gently tilt the card. The portrait should stay attached to the card as your viewpoint changes.

Move the card out of view and back three times. Tracking should return without reloading. Try your normal grip and check that fingers do not cover too much artwork.

Next two minutes: check the other phone

Open the same link independently on Android and repeat the movement and three reacquisitions. Briefly leave the browser and return. Try a dimmer spot, then ordinary indoor light again, and note any glare or unstable tracking.

Last minute: record what worked

Note each phone model, browser and any failure. Confirm that the shared link opened without a family account. If the card does not track reliably, contact HoloBaby before offering that experience. Include device details and a description, but no private family link or patient file.

Keep things moving

More cards.
A little help.

Order additional batches of 50, 100, 250 or 500 cards from your studio login. HoloBaby prepares a quote including shipping and any tax. Your owner accepts the exact total before payment is arranged separately by invoice. Check the same card order for packing and dispatch updates.

A request is not a payment or shipment confirmation. Your saved card history stays separate from family keepsakes.

Corrections and family questions

A studio owner can correct purchase details in the keepsake record, with a history of changes. A later additional-card purchase should have its own receipt and stock record. The original keepsake keeps the same viewing link unless your studio replaces or revokes it.

For a missing email, likeness concern or delivery update, check the existing order first, then contact HoloBaby. Anyone with a private viewing link can view the keepsake, so keep it out of public posts and support forms.
